Webinar attendance benchmarks: what a good registration-to-attendee rate actually looks like

A good webinar attendance rate gets asked about constantly, and the honest answer is that it depends heavily on how the registration was earned in the first place. A webinar promoted purely through paid social to a cold audience will show up in the 20-30% range; one built from an engaged email list or a co-marketing partner audience regularly clears 40% or higher.

When we benchmark a client's webinar registration-to-attendance ratio, we separate it by acquisition source before drawing any conclusions. Blending a paid-registration number with an organic-list number into one average hides which channel is actually underperforming, and it's usually the paid registrations dragging the blended rate down, not the webinar content itself.

The biggest lever we've found for improving the average webinar show up rate isn't the reminder email sequence, though that matters -- it's the specificity of the registration page. A vague 'join our webinar on marketing trends' page pulls in registrants who forget why they signed up. A page that names the exact problem and who the session is for pulls in fewer registrants but a noticeably higher share actually attend.

What teams get wrong is judging a webinar purely on the attendance rate instead of on who attended. A 25% show-up rate from a tightly targeted account list of the right titles is a better outcome than a 45% rate from a broad audience with weak fit. We'd rather report a lower percentage against a list that matches the ICP than a flattering one against a loose audience.

Across the programs we run for active clients, we treat 35-45% as a realistic, healthy benchmark for a well-targeted B2B webinar, and we tell clients directly when a promoted number is likely to land below that, rather than let a projection set expectations we can't hit.
